You come to work full of energy, ready to act, but when you sit down at your desk, you notice a mess. You start looking for the documents you need, looking through papers and searching drawers. You soon find what you were looking for, but you're already nervous. The workplace has a huge impact on work efficiency, and mess can ruin even the best day.

Clutter on the desk - How much can it cost?

An untidy desk generates costs that can amount to 15-20% of the company's annual budget. Office disorganization leads to inefficient use of time, and the average office worker spends 4 weeks a year looking for lost documents. Additionally, the cost of poor decisions resulting from lack of access to needed information and re-creating documents can be significant. Losses also include delays in payments that result from lost invoices.

How to control chaos on your desk?

Desk chaos can lead to fatigue and decreased productivity. Research shows that people working in unstructured environments waste an average of an hour and a half a day distracted and searching for needed items. That's almost an entire working day lost during the week! It is worth learning how to organize and sort to use this time more productively.

5S system - The key to order in the workplace

The 5S system, based on Japanese management philosophy, is a set of principles that help improve the organization of the workplace. It consists of five steps:

  1. Seiri (selection) - Separating necessary items from unnecessary ones, eliminating those that will not be used in the next 30 days.
  2. Seiton (systematization) - Classification and arrangement of items according to frequency of use, making it easier to access the most important tools.
  3. Seiso (cleaning) - Regular tidying up of the workplace, which includes not only cleaning, but also inspection of machines and equipment.
  4. Seiketsu (standardization) - Maintaining order by creating and applying procedures and instructions.
  5. Shitsuke (self-discipline) - Continuous improvement and maintaining order through systematic activities and audits.

Practical tips for keeping order:

  • Segregation: Move all items to one place and divide them into three groups: items that go back to their place, items that need to be moved, and items that need to be thrown away.
  • Quick decisions: Make quick decisions about the purpose of items so as not to waste time on unnecessary considerations.
  • Order on the computer: Keep your files organized, remove unnecessary shortcuts and programs.
  • Document archiving: Scan and archive old documents instead of throwing them away.
  • Cleaning routine: Set a schedule for tidying up your workspace to keep things tidy on an ongoing basis.

To sum up

Keeping your desk and surroundings tidy can significantly increase your productivity and work efficiency. Task work in a structured environment is more effective, and regularity in maintaining order brings tangible benefits. Taking care of order every day and applying the principles of the 5S system will allow for better project management, task management and work management. Implementing these habits will make each day at work more productive and less stressful.
