Will project management work for your company?

Project management means organizing people and resources to achieve a specific goal. It is also crucial to monitor time, costs and implementation of the project vision. If your company lacks a person responsible for implementing the plan, project management may not have been implemented yet. In practice, however, every long-term successful company benefits from effective project management. Often, companies apply these principles without even realizing it. Even if a company wasn't created to achieve a specific goal, effective project management is crucial. Without proper project management or even a bit of luck, it is difficult to achieve any goals.

Is it worth focusing on project management?

Long-term successful companies don't rely on chance. Luck is not an effective method for long-term management. If you intend to run your business for many years, you must implement effective project management methods. Effective project management ensures clear communication within the team, precise definition of goals and striving to achieve them with minimal costs and a limited number of employees. Consider implementing project management by setting specific goals and developing realistic plans. It is crucial that the plan is achievable. Even the best project management methods will not help if the project is unrealistic. Therefore, it is important that the plan is based on precise stages and implementation steps.

Project management methodology

Project management methodology is a set of rules for carrying out specific activities. As various fields developed, there was a need to organize project management knowledge.

In 1969, the Project Management Institute (PMI) was established, which collects and analyzes experience related to project management. Then, the PMBOK guide was developed, containing rules for project management.

At the same time, the PRINCE methodology was created in Great Britain, based on the PROMPT principles, used for the British government. Later, a newer version was created – PRINCE2. This methodology is based on three main principles: the project has a beginning and an end, requires effective management, and each employee must know the goals and their responsibilities.

PRINCE2 methodology

PRINCE2 divides work into three types:

  1. Specialized work leading to the production of a product.
  2. Management work related to the handling of contracts, plans and reports.
  3. Work related to quality management.

MPBOK treats a project as a set of activities carried out by specific employees with limited resources. Each project aims to create a unique product or service, and the project team is disbanded after the project is completed.

PMBOK methodology

PMBOK divides knowledge into 9 areas:

  1. Project integration management.
  2. Project scope management.
  3. Time management in the project.
  4. Project cost management.
  5. Quality management in the project.
  6. Human resources management in the project.
  7. Project communication management.
  8. Risk management in the project.
  9. Project order management.

In addition to PMBOK and PRINCE2, there are other methodologies such as Scrum and TenStep. Scrum focuses on a team that independently organizes its activities in specific time cycles, called sprints. In turn, TenStep is based on ten steps, where the project is divided into stages, which ensures reliable implementation and minimizes the risk of inefficiency.

Motivation in project management

Motivation is a key aspect of project management. An employee who is not motivated may perform tasks less effectively. A well-motivated person engages in the implementation of tasks and contributes to increasing the pace of work. Motivation can take many forms, from financial rewards to recognition or opportunities for promotion.

For example, market research workers can be motivated by publishing the results of their work. Product creators, such as engineers, may be motivated by the opportunity to showcase their achievements. In turn, people involved in promotion may receive financial or other benefits. In each role, motivation should be adapted to the specific nature of the position.

After choosing the methodology and motivating employees, it is crucial to choose the right project management tools. Here are some recommended apps:
